THE OPPORTUNITY

This is not a conventional administrative position. We are seeking an Operations & Administration Coordinator who can manage competing priorities, contribute from day one, and bring genuine drive to their work.

You will be central to the smooth running of our office, supporting day-to-day operations while also contributing to business development as we continue to grow. The role will suit someone who thrives on variety, takes initiative, and takes pride in improving the way things work.

WHAT YOU WILL BE DOING

  • Managing incoming calls, shared inboxes and day-to-day office communications
  • Coordinating scheduling, bookings and candidate placements
  • Supporting the recruitment team with candidate management and follow-up
  • Assisting with business development activities and client relationship support
  • Liaising with clients, candidates and external stakeholders professionally and promptly
  • Following up on leads, enquiries and outstanding actions
  • Assisting with onboarding, staff administration and HR documentation
  • Supporting compliance, WHS requirements and internal process management
  • Managing office operations, stock and supplier coordination
  • Assisting with marketing, social media and team initiatives
  • Supporting management with day-to-day business operations and ad hoc projects

  • Highly organised, with a proven ability to manage competing priorities
  • A confident communicator across written, telephone, and in-person channels
  • Self-directed and proactive, with a willingness to take ownership of tasks
  • Composed under pressure and adaptable to changing circumstances
  • A natural problem-solver with a continuous improvement mindset
  • Collaborative and constructive, contributing positively to team culture
  • Experienced in office management, administration, or coordination; prior exposure to the health sector is desirable but not essential
  • Comfortable supporting business development activities and engaging with clients
