Workforce Extensions are currently seeking a Project Coordinator (PC), Responsible for improving project delivery by providing vital support to our Project Managers in a Campbelltown NSW Location.
The PC will be a critical part of the team by taking complete ownership of their responsibilities and facilitating success through constant and proactive coordination and monitoring of key project stages from start to completion. With exceptional organisational skills.
Confident communicators, able to coordinate across multiple departments and track project timelines, not just project specific tasks.
Process-driven collaborators, who can spot gaps, streamline repetitive tasks, and create more consistency across projects.
Key responsibilities:
Sales Order & Project Plan Alignment
- Creating site-specific Sales Orders (with valid Project Plan)
- Ensuring invoice dates match PM's project plan
- Maintaining Epicor data accuracy for sales and project plans
Survey Coordination
- Highly skilled in project systems and data integrity, particularly Epicor and MS Projects & smart Sheets.
- Proactive problem solvers, identifying and escalating issues early tassking surveyors and scheduling.
- Coordinating inductions across platforms
- Sending SWMS and insurances
- Raising POs for survey costs
Design & DA Support
- Creating and updating Epicor design tasks (including DA/Council Packs)
- Managing revisions
- Obtaining Owner's Consent for DA applications
Installation Coordination
- Requesting quotes and booking installers
- Coordinating permits, traffic management, equipment hire
- Sending out PM-approved SWMS
- Induction coordination
Production & Inventory
- Handing over Product Stock Jobs to Production
- Stock receipting
- Inventory management and stocktaking support
Contractor Handover & Completion
- Creating Contractor Handover Packs (safety docs, job checklists)
- Reviewing and distributing job completion photos/reports
- Uploading to platforms or sending to customers
- Supplier PO receipting and invoice processing (with PM approval)
Invoicing & Financial Admin
- Strong administrative background
- Strong attention to detail
- Able to multi-task
- Submitting customer invoices
- Performing pre-IDR checks, margin validation
- PO and supplier invoice processing
Data Management & Reporting
- Creating, interpreting, and updating project-related reports (e.g., quote status, install tracking)
- Maintaining Epicor data fields for consistency
- Assisting with dashboards for sales and project performance
- Highlighting data trends or inconsistencies for improvement
Desirable for the role
- Qualification in either Project Management, Construction Management and or
- Technical proficiency with 2 - 3 years' experience in Project Coordination
