Service Coordinator Workshop & Hydraulics

About the Role
This is a full-time, ongoing position split across:
- 70% Workshop and field Service Coordination
- 30% Service admin Support
You'll be the link between the front office and the workshop, booking jobs, coordinating technicians, chasing parts and keeping customers informed every step of the way.
Everything revolves around keeping jobs on track and minimising downtime for customers.
What You'll Be Doing
Workshop Coordination & Scheduling
- Work closely with the Workshop Manager and technicians to plan daily jobs
- Attend short morning huddles to set priorities and keep things aligned
- Adjust schedules on the fly as jobs change
Job Tracking & Ownership
- Open and manage job cards from start to finish
- Track labour, parts and progress with high attention to detail
- Keep systems updated so everyone knows exactly where things are at
Customer Communication
- Be the main point of contact for job updates and status reports
- Keep customers in the loop
- Handle issues professionally and escalate when needed
Parts, Stock & Workflow Support
- Coordinate parts ordering to avoid delays
- Assist with receipting parts for workshop jobs
- Monitor stock levels and flag shortages early
- Jump in with stocktakes and basic inventory tasks when required
Logistics & Dispatch
- Organise pickups and deliveries
- Make sure completed jobs are turned around quickly and efficiently
Problem Solving
- Identify delays early and work with the team to resolve them
- Focus on solutions, not just process
- Do what's needed to keep jobs moving and customers running
What We're Looking For
- Strong organisation skills, be able to manage multiple moving jobs
- Confident communicator, be able to deal with tradies and customers alike
- Someone who takes ownership and follows things through
- Comfortable in a fast paced, workshop style environment
- Ability to think ahead, solve problems, and adapt quickly
Experience in a workshop, service coordination, or mechanical environment will be highly regarded.
